After completing my B.E./MCA/MBA/ME/MTech studies from BIT, what are the documents that I am going to get?You shall get your marksheet for the final semester, your Transfer-cum-Conduct Certificate, your migration certificate, your provisional degree certificate, and your final degree certificate.
Where do I get all these
documents? The marksheet for the final semester is available in the Institute if the results have been declared and the student has clearly been declared as “PASSED” or “FAILED” in the examination. If the result for the candidate has been withheld by the University, it may not be available in the Institute. The other document is the Transfer-cum-Conduct Certificate that is issued by the Institute and is available in the Institute. The remaining three documents i.e. the migration certificate, the provisional degree certificate, and the final degree certificate - are all issued by the University.
Why
are some results withheld by the University? Results are mostly withheld by the University because of non-availability of past result details or current exam marks in some subject/s for some candidates. It so happens at times that the results of revaluation or supplementary examinations may not be updated in the Institute/University records. This may cause the subsequent results to be withheld.
So
what should I do to avoid my result from being withheld? Students should ensure that after every result declaration – either for main exam, supplementary exam or revaluation – especially the latter two – are available with the Students’ Section of the Institute.
What
is to be done if my result is withheld? You should make a plain paper application to the University clearly stating the details, get it forwarded by the Institute along with any additional documents that might be relevant and approach the University for the correction of results.
How
do I get the Transfer-cum-Conduct Certificate from the Institute?
A plain No-Dues Application Form is to be
obtained from the Students’ Section and the details have to be filled in.
Thereafter, “No-Dues” statements have to be obtained from relevant parties
viz. Accounts dept., Central Library, Sports, Workshop (For Mech. Engg.
students) and the HOD concerned. After all signatures have been obtained,
the form has to be submitted to the Students’ Section from where the
Transfer-cum-Conduct Certificate is issued within a day or so.
How do I get my caution
money back from the Institute? The same No-Dues Form suffices for the return of Caution Money also. The Accounts Dept. returns the amount on receipt of this No-Dues App. Form. The amount is sent by Demand Draft by registered post on the address of the candidate. The candidate must ensure that correct address is made available to the Students’ Section for this purpose. What is the Provisional Degree Certificate? How is it different from the Final Degree Certificate?
Even after the University results for the Main
Exam are declared, they are not final. There may be changes in the results
on account of revaluation and supplementary examinations, only after which
the results are considered final. If a candidate has successfully completed
all formalities for a particular course and has successfully cleared all
examinations, a Provisional Certificate can be issued to such a candidate
immediately, till the results are finalised. Once the results are
finalized, the Final Degree Certificate is written by a calligrapher and can
be distributed in a Convocation function or can be subsequently issued to
the candidate upon application and payment of requisite fee.
What is Migration
Certificate? Why and when might I require it? The migration certificate is required by a student who wishes to get admitted to some course in some other regular University (This may not apply to Distance Learning or some Part-time courses). It is issued by the University that the student leaves and is submitted to the new University in which the student is taking an admission. I am not going for an admission in any course right now. Should I still get my Migration Certificate from the University? Although you may not require the Migration Certificate now, it is quite likely that when you need it subsequently, it may be urgently needed at that time. Further, you may require running back to your old University for this and try hard to get the certificate out immediately. This may prove to be extremely difficult at that time. So, it is advisable that the Migration Certificate should also be taken out as soon as possible after a student completes a course of study and has no immediate plans to get admitted to some course in the same University. Even if a candidate decides to take up a course in the same University later, the same Migration Certificate can be submitted back.
When
can one apply for the Provisional Degree Certificate? A student can apply for the Provisional Degree Certificate immediately after he/she has completed the course successfully and has passed all the required exams.
When can one apply for the Final
Degree Certificate? There is no fixed time or date for getting the Final Degree Certificate issued from the University, but the University would not be issuing this certificate till the results of revaluation and supplementary exams have been declared and the status of almost all applicants has been frozen for the particular exam. This may take 6-8 months after which the Final Degree Certificate may be prepared. If the University holds the Convocation Function, normally it may not issue the Final Degree Certificates to students before the function.
How
do I get my Provisional degree, Final Degree and Migration Certificate? The Application forms for these certificates are available for each of these certificates directly from the University on payment of a small fee of 5/- or so. Alternately the form may also be available on the Website of the University for downloads with a condition that the fee amount of the form would be payable while submitting the form. The interested candidates are required to obtain the forms, fill them, attach the copies of all marksheets of ALL exams (Main/Supply) for which the candidate has appeared while studying in the course. The copies of marksheets have to be duly attested by a Gazetted Officer or the Head of Department/Institution. The filled form with copies has to be forwarded by the Principal/Director and has to be submitted in the University with the requisite fee. (Rs. 200/- or so for the Degree Certificates and Rs. 50/- or so for the Migration Certificate). The fee receipt should be reserved for future references. How long does the University take to issue these certificates? The Provisional Degree Certificate and Migration Certificate may be issued by the University in a couple of days. The candidate or his/her representative can obtain these two certificates in hand from the University upon production of the fee receipt. The Final Degree Certificate may either be awarded in the Convocation Function or only after it, upon application. It may take 1-2 months for the Final Degree Certificate to be delivered. The Final Degree Certificate is not issued directly to the candidate or his/her representative. It is always sent by registered post/ Speed-post/ Courier to the address indicated by the candidate in the application form. I have just passed the final exams and cleared all required exams for the course, should I fill and submit the forms for all three certificates at the University? The forms for the Provisional Degree Certificate and the Migration Certificate can be filled and submitted with the fee immediately, but one should wait for a period of 6-8 months before applying for the Final Degree Certificate. My
Final Semester Examination results are out and I have cleared them. The
marksheets of my other batchmates are available, but my marksheet is not in
the lot. What is wrong? In all probability, you may still not have cleared some paper/s of your previous semester/s. The University does not release the marksheet for the final semester until the candidate has successfully cleared all previous semesters even if the candidate has cleared the final semester.
So what should I do
for my Final Semester Marksheet? Just wait, till you clear all previous semesters’ exams. What do I do for my Final Semester Marksheet after I have cleared all previous semesters’ exams? Once you reach this status, i.e., you have cleared all papers required for your course, you can obtain the marksheet/s for the previous semesters’ exams that you have just cleared, from the Institute. The University does not withhold the marksheets of any previous semesters results. Once you have the marksheets for all semesters except the Final Semester, you can make a plain paper application to the University for making this marksheet and releasing it. This application has to be forwarded by the Director and to be submitted by you in the University who will then prepare and release the marksheet. I have cleared my Final Semester but not some previous paper/s. Can the University or the Institute issue me a provisional certificate of my final semester results? The University won’t do this, because you still have not completed your curriculum, and the Institute does not have any authority to issue any kind of certificates regarding exam results. The University is the only authority in this regard
